Always check your company's own cycling policy, which you have agreed to abide by, in case of changes.
The situations described below are based on the standard Epassi Cycling Policy. The policy that applies to you may differ substantially from Epassi's terms and conditions.
1. TRANSFER OF CONTRACT TO A NEW EMPLOYER
Are you changing jobs while you still have monthly payments remaining on your EpassiBIKE bike contract? If your new employer is an EpassiBIKE customer, your contract may be transferred to your new employer.
The transfer of your contract always requires the consent of your new employer.
If your new employer is not yet an EpassiBIKE customer, they can choose to sign a service contract with us for the bike benefit. Your bike contract can then be transferred.
2. THE EMPLOYEE REDEEMS THE BIKE FOR HIM-/HERSELF
If your employment ends in the middle of your contract period, you as an employee usually have the obligation or possibility to redeem the bike for yourself. Check your employer's policy with your workplace's contact person.
3. NEW USER OF THE CONTRACT BIKE
If an employee's employment ends and he or she does not wish to transfer the bike to the next place of work under the lease agreement or redeem the bike for himself or herself, the employer may assign a new user to the bike. Of course, this requires the consent of the new user.
Employer: Please inform Epassi in good time of the new user of the company bike and we will forward the new information to your payroll office.
4. BIKE GETS SIGNED FOR COMPANY USE
If an employee's employment ends and he or she does not wish to transfer the bike to the next job on the leasing contract or to claim the bike for his or her own use, the bike can be left for shared use by the company. In the case of shared use, the leasing fee is not deducted from anyone's salary.
5. THE COMPANY REDEEMS THE BIKE
The employer can always redeem the company bike by paying off the remaining financing costs. In this case, full ownership of the employee's bike is transferred to the company.
REDEEM THE BIKE OR RETURN IT
When the monthly payments under your lease are coming to an end and the rental period is coming to an end, you can redeem your benefit bike. To redeem your bike, you must pay 5% of its original purchase price.
For example, if the purchase price of your company bike was 3 000 €, you can redeem it at the end of the contract period for 150 €.
Make a redemption notification to bikes@epassi.fi at least one (1) month before the redemption date. We will send you a confirmation email with further instructions.
Once we have received the necessary information and confirmation from your employer, we will send the redemption invoice to your email address.
Once the redemption price of the bike has been paid in full, ownership of the bike is transferred to the employee.
The rental period does not end until the Epassi redemption invoice has been paid. As the time needed to receive a redemption invoice is one month, we ask that you always notify us well in advance. If Epassi receives the notification towards the end of the month, the redemption date may be delayed. The examples below illustrate the redemption schedule.
Example 1
An employee's employment ends on 15 November. The employee notifies Epassi of the redemption (or transfer of the contract to a new employer) on 4 October. In this case, Epassi requests a redemption invoice for 30 November, when the November salary is still deducted in the normal way. The due date of the redemption invoice is always before the official end date of the contract. The contract officially ends on 30 November if the employee pays the invoice on time. If there is a delay in the payment of the redemption fee, the rental period will automatically be extended by one month at a time. Your employer will have to pay the leasing rent as normal and will deduct the cost from your salary in accordance with your cycling policy.
Example 2
An employee's employment ends on 15 November. The employee notifies Epassi of the redemption (or transfer of the contract to a new employer) on 3 November. Unfortunately, since the notification is received in the same month as the termination, the redemption invoice is no longer available for 30 November, but in this case the redemption invoice is requested for 31 December, when, if possible, the employer deducts the deduction for November and December from the employee's salary. The official end date of the contract would be 31 December if the invoice is paid on time. If the invoice is not paid, the contract remains active.
At the end of the rental period, the bike can be returned to the retailer designated by Epassi, as long as the bike meets the return criteria.
