What happens to unused benefits?
We will credit unused benefits to the subscriber in the next billing period. So you can share your benefits without worry and without unnecessary costs.
Epassi is a modern, digital way to share and manage your employee benefits. Unlike banknotes or debit cards, you don't pay the full amount of your benefits to Epassi in advance.
How do I manage my Epass employee benefits?
Getting started with Epass is stress-free. When you order Epass for your employees, you don't have to order, wait and distribute paper banknotes or plastic payment cards.
This way you can make the benefits available to your employees:
- Add employee details to the system and set up billing.
- Set up your employees' accounts and set up the benefits. The benefits will then be immediately available to your employees.
- Once the employees' details have been added to the system and the invoicing set up, the benefits are immediately available.
When the system is set up, we will define rules for the system to take account of part-time and fixed-term contracts. In this way, each employee will automatically receive the right amount of benefits for the right duration and the right length of service.
How do I arrange the lunch co-payment?
There are two easy ways to manage employee contributions in Epass:
- The most common way is to submit an electronic list of pre-calculated deductibles to the payroll administration. The list is available in Epass reports with just a few clicks.
- Alternatively, employees can pay their deductibles themselves using Epass' MyPay.
With MyPay, an individual employee can pay the entire lunch purchase in one go, without any adjustment, using two payment methods.
How do I monitor the impact of benefits in my company?
You can track the use of benefits on a per-item basis on your company's own page.
If you're wondering how employee benefits affect, for example, well-being at work or sick leave in your company, you don't have to guess.
You can compare the use of benefits by different groups of staff with other data and make decisions based on facts.
Do I have to offer the same benefits to all employees?
The tax authorities distinguish between personal benefits and benefits in kind.
According to the tax authorities' guidelines, personal benefits (sports, cultural and welfare benefits) must be offered to all employees on an equal basis.
However, you can take into account, for example, the part-time or fixed-term nature of the employee when distributing benefits. See the tax authorities' guidance on staff benefits.
Benefits in kind (lunch benefit, commuting benefit and cycling benefit) can be distributed differently for each employee or group of employees, according to the tax authorities' guidelines.

How much can I share benefits tax-free?
According to the tax authorities' guidelines, you can distribute tax-free benefits during the calendar year as follows:

€540 (the change took effect retroactively for 2026 in October)
- massage benefits up to a maximum of EUR 400
- up to EUR 3 000 for dental care
- up to EUR 3 000 for health benefits
- up to EUR 3 400 for travel to and from work, up to a maximum of EUR 3 400.
You can offer a lunch allowance of between €8.60 and €13.70 per day of employment.
This benefit can be offered either in full on top of the salary or as a meal allowance deducted from the salary.
In this case, the employee pays 75% of the value of the lunch allowance and the employer the rest. The lunch allowance can only be paid for days worked - not, for example, for holidays.
If you pay more than €900 per year in commuting expenses, you as the employer must find out the actual travel costs of the employee.

Can I set a deductible for benefits?
You can. However, please note that the deductible may affect the employee's willingness to use the benefit you are giving him or her.
You cannot use MyCash to process the deductible, it must be processed in your payroll. You can get the reports you need to process the deductible from your employer's dashboard.
What is OmaRaha?
MyMoney is money loaded by the employee themselves and transferred to Epass from their bank account.
OmaRaha is used when the amount of the payment exceeds the amount of the employee benefit.
When an employee has an OmaRaha, he or she can make the entire payment at once without using separate payment instruments. No payment card or cash is required.
You can pay with OmaRaha wherever Epass and other mobile payment methods are available.
How do I order Epass for my business?

How much will Epassi cost my company?
The pricing of employee benefits is based on a percentage service fee and whether you subscribe to the benefits as a self-service with a pre-invoice or as a continuous subscription with a post-invoice.

How do the benefits work and how do I share them in practice?
The Epass system automatically distributes benefits to your employees according to the settings you choose.
All you need to do is add your employees to the system. You can add employees either individually or by uploading a list of employees to the system.
If you prefer, you can also distribute benefits to your employees manually.
Where can I view my Epass invoices?
Can an employee overuse the benefits allocated to him/her?
You can't. The Epass benefits management system ensures that an employee cannot use more benefits than you have allocated to them.
However, OmaRaha allows the employee to pay for the entire benefit purchase in one transaction. So he doesn't have to combine different payment methods, such as card or cash, to pay with a benefit.
